Presenter Instructions
HiSST conference will be held in a Hybrid format. We request all speakers and named presenters to give their talk live in the allotted time specified in the programme, which has been put together considering the authors respective time zones.
Onsite Presenters
Preparing for your presentation
- The allocated time slot for your presentation is 30 minutes, including 10 minutes for Q&A.
- Please prepare your presentations in PowerPoint; the template can be downloaded from the following link [PowerPoint Template].
- Presentations can be uploaded on the conference PC, therefore please bring a copy of your presentation long with you on a USB stick.
- Presenters are kindly requested to arrive at least 10 minutes prior to the start of the session in the meeting room.
- Kindly note that hand outs of your presentation will not be provided onsite by ESA Conference Bureau.
Online Presenters
Preparing for your presentation
- Browser – use the latest version of Google Chrome for the best experience.
- Connection restrictions - do not use VPN or strong firewalls as they can block the platform. To verify all is working properly you can access the LGD Testing Suite by clicking here.
- Sound/Audio – it is recommended to use a headset with microphone as it will lead to better sound quality than using your computer audio. Turn off all sound notifications on all your devices.
- Connection – it is recommended to use hardwired internet, using an ethernet cable to connect. This helps reduce the variability of Wi-Fi strength. You can however also use a fast and steady Wi-Fi connection. You can check your internet speed at: https://fast.com/.
- Please prepare your presentations in PowerPoint; the template can be downloaded from the following link [PowerPoint Template].
- To cope with possible technical or connectivity issues speakers are requested to pre-record a voiced over presentation. Click here if you need to know how to make a video in PowerPoint. Your recorded presentation (mp4 file) must be uploaded via the full paper submission portal by 1 September, 2022.
- Dry Run Sessions – these will be scheduled closer to the event date allowing you to familiarise yourselves with the various functionalities.
- Please use the following [Virtual Conference Background]. It must be uploaded, prior to the start of the conference, by each presenter in their virtual session room. Instructions on how to do this will be provided during the dry run session.
Virtual Session
- Kindly join your session 15 minutes prior to the start time to ensure your audio and video connection are working correctly.
- Presenters shall be allocated a 30-minute timeslot, including 10 minutes for Q&A.
- Prior to the start of the event you will receive your personal log-in details, giving you access to your own virtual room. Inside your virtual room you can set up your microphone and camera as well as upload your presentation to your content library. Once uploaded, it is possible to leave and re-enter the virtual room again without your changes being lost. We recommend you upload your presentation at least 24 hours before the start of the event by accessing the session in which you will be presenting.
- You can upload documents in the content library i.e PowerPoint presentations, PDF, images, or Youtube videos. Please note, that animations in PowerPoint presentations will not translate in the platform, same as embedded videos. If you have videos in your presentation, we strongly recommend uploading these separately. Alternatively, you can use the share screen option however to ensure that the quality of imagery / video is not affected you will need to have a solid/strong internet connection.
