Registration is now open

Participants are requested to register as soon as possible. Please forward this announcement to any colleague you think could be interested.

The event is planned to be held at ESTEC. In case this turns out to be no longer feasible the event may switch to an online only or hybrid event. The registration fee includes workshop attendance and two buffet‑style networking receptions at the end of the first two days, instead of a formal conference dinner.

ESA Employees and students can register for the workshop and the welcome reception free of charge. Students will be asked for a proof of University ID.

Authors are not exempt from registration fees.

Early Bird Registration - bookable until 26 August, 23:59 CET	EUR 175.00
Late Registration - bookable from 27 August onwards	EUR 215.00
Registration Student/ESA Staff	Free

More information

The 21% deductible Dutch VAT will be added on top of these prices during the registration process.
Any registration for companies providing proper documentation of them being exempt for VAT can be invoiced with 0% Dutch VAT. If your company is excluded from VAT, please provide an official proof via e-mail to the ESA Conference Bureau (ESAConferenceBureau@atpi.com).
The agency does not provide letters in support of VISA applications for individuals registering to participate in this particular event.

Payment Method

Registration payments can be made by credit card or bank transfer. If you choose to pay by bank transfer, payment is to be settled within 14 days of the invoice issue date. You will find the invoice attached to the registration confirmation e-mail. The billing address reflected is the address which was provided when completing the online registration form. Should you instead choose for payment by credit card, you will be redirected to a secure payment site.

Kindly note that bank transfer payments are only offered until Tuesday 9 June 2026, 23:59 CEST. After this date, you are required to pay by credit card.

Cancellation Policy

All cancellations must be made in writing to ESA Conference Bureau (ESAConferenceBureau@atpi.com).

Cancellations received:

on or before 6 September 2026, will incur a cancellation penalty equal to 10% of the total registration fee.
on or after 7 September 2026, will incur a cancellation penalty equal to 100% of the registration fee.

Any refunds will be dealt with after the conference.
