REGISTRATION

The EDHPC 2025 registration fees are as follows:

Standard registration

The standard registration fee includes:

Access to technical sessions, tutorials and roundtables
Catered lunches and coffee breaks
Conference kit with programme and abstract book
Welcome Reception on Sunday
Cocktail on Wednesday
Gala Dinner on Thursday

Early Registration * - Register before 30 June 2025	€ 950.00
Late Registration - Register after 1 July 2025	€ 1250.00
ESA Retirees, Pensioners	€ 450.00

* Mandatory for all presenters of an accepted digest to be presented at one of the EDHPC sessions (oral presentations or poster session).

Student Registration

The student fee includes all the points above except the Gala Event on Thursday.

Student Registration fee Excluding Gala Event	€ 350.00
(Additional) Ticket Gala Event	€ 150.00

Please note that a copy of a valid student card, or a letter of recommendation from the University is mandatory to apply for a student registration. This documentation has to be uploaded on the on-line registration form.

Payment Types

The registration form allows you to pay either by credit card or by bank transfer.

The option to pay by bank transfer is the preferred one. It will be offered until 29 September 2025. After this date, you are required to pay by credit card. In case the bank transfer is not confirmed at the time of check-in, the participant will be requested to pay by credit card and will be refunded of the extra payment upon confirmation, if applicable.

On site payment of registration fees can only be made by credit card (Visa, Mastercard or American Express are accepted).

Cancellation policy

All cancellations must be made in writing to the ESA Conference Bureau (ESAConferenceBureau@atpi.com)

Cancellations received up until 12 September 2025, will be charged a cancellation fee of 10%
Cancellations received as of 13 September 2025 will not receive a refund
Any refunds will be dealt with after the conference
