Paper & Presentation Guidelines

Technical requirements and recommendations for Full Paper submission

  • Author instructions for the preparation of full-length paper(s) can be downloaded from the following links [Word Version / PDF Version]. When completed, each submission should conform in format and style to these instruction sheets. Please read all instructions thoroughly to avoid errors that could result in your paper(s) being omitted from publication.
  • All presenting authors, i.e. both oral and poster presenters, will need to register and pay the registration fee for the conference by 20 March 2026, at the very latest. 

Technical requirements and recommendations for the Oral Presentations

  • Please note that the presentation file shall adhere to the following naming convention:
    • PaperNumber_LastName-FirstName_Presentation
      • An example would be 987_Rocket-Alex_Presentation
    • The same convention applies to the submission of the paper with “Paper” instead of the “Presentation” in the end of the file name, i.e. PaperNumber_LastName-FirstName_Paper
    • Please note that the file name must meet the aforementioned requirements.
  • The presentations should contain clear information with appropriate font size (i.e. at least 18) that is legible from the back of the conference room.
  • Slides shall be prepared in 16:9 format.
  • Please find and download the 4S Symposium logo for the presentation slides here (LINK).
  • The presentation slot for oral presenters is 15 minutes for the Plenary track and 20 minutes for the CubeSat track, including time for questions. Presenters shall comply with the timing and adjust their presentation length accordingly.
  • A Windows-based laptop will be available for the presentations. For performing the presentation, MS-PowerPoint or Adobe PDF Reader will be used.
  • The content of the PowerPoint file and the PDF file shall be equal. Any discrepancies shall be discussed and approved with the 4S organisation team beforehand.
  • Please notice that the presentation in PDF format will be published as such part of the final Proceedings.
  • Presenters are kindly requested to arrive to the meeting room 5 minutes before the start of the session.
  • The presentation shall not include any proprietary, confidential nor similar material and/or data.
  • The presentation shall not be based on marketing one's company, products etc. 

Technical requirements and recommendations for the Flash Talks

  • Please note that the presentation file shall adhere to the following naming convention:
    • PaperNumber_LastName-FirstName_Flash Talk
      • An example would be 987_Rocket-Alex_Flash Talk
    • The same convention applies to the submission of the paper with “Paper” instead of the “Presentation” in the end of the file name, i.e. PaperNumber_LastName-FirstName_Paper
    • Please note that the file name must meet the aforementioned requirements.
  • The presentations should contain clear information with appropriate font size (i.e. at least 18) that is legible from the back of the conference room.
  • Slides shall be prepared in 16:9 format.

  • The presentation shall contain maximum 5 slides, in addition to the title slide. Longer presentations will need to be adapted until they meet these requirements. 
  • Presenters will have 5 minutes allocated per FlashTalk. After 5 min, the talk will be stopped. 
  • A Windows-based laptop will be available for the presentations. For performing the presentation, MS-PowerPoint or Adobe PDF Reader will be used.

  • Please note that the presentation file shall adhere to the following naming convention

      • An example would be 987_Rocket-Alex_Poster
    • The same convention applies to the submission of the paper with “Paper” instead of the “Poster” in the end of the file name, i.e. PaperNumber_LastName-FirstName_Paper
    • Please note that the file name must meet the aforementioned requirements.
  • Presenters at the poster sessions shall bring their own printed posters, and take into account that it is not possible to print a poster on site.
  • The poster size shall be a A0 in portrait configuration (841 mm × 1189 mm).
  • Authors shall comply to the poster size requirement with a single paper sheet, i.e. using multiple sheets of smaller papers, e.g. A4s, is not allowed. 
  • Poster numbers (according to the symposium programme) will be disposed on the poster panels.
  • Presenters shall be available at the poster session near their poster for the duration of the session in order to answer to the symposium participants’ questions.
  • Poster presenters are strongly encouraged to submit a full paper, but this is not mandatory.
  • The poster shall not include any proprietary, confidential nor similar material and/or data.
  • The poster shall not be based on marketing one's company, products etc.
