Exhibitor Registration |
All exhibitor stands must be manned and operational by 11:00 AM Tuesday, 7 October. To avoid registration queues and begin set-up without delay, exhibitors are encouraged to pre-register on Monday, 6 October. Registration will be open on Monday from 9:00 AM till 4:00 PM, and on Tuesday from 8:00 AM onwards.

Exhibitor Stand Assignments |
Space assignments will be coordinated by the EMPS Organising Committee. If you are planning a special setup, we strongly recommend checking with us in advance to ensure it fits within your allocated area. This helps us confirm that your setup can be accommodated comfortably and safely.
The floor plan and space allocation will be published on this page shortly before the event. Please check back closer to the date to view your assigned location and setup area.
Set-Up and Dismantling Hours |
Exhibit dismantling is scheduled for Thursday, 9 October, after the closure of the Symposium. Please take care that all your items have been packed in boxes and ready to be shipped back. All return shipments must be scheduled for pick-up by 4:00 PM on Thursday, 9 October. Alternatively, pick-up can be arranged for Friday, 10 October, between 8:00 AM and 4:00 PM. Please leave your items at your stand. It is your own responsibility to arrange for the return shipment.

Important Note for International Shipments:
Shipments originating from outside the EU may be subject to customs delays of 3–5 days. Please plan accordingly to ensure timely delivery.
Shipping Instructions:
Exhibitors are responsible for ensuring materials are shipped within the specified timeframe.
All packages must include the Exhibitor Shipping Label, with the stand number clearly indicated.
No goods, waste, disposables, or materials may be left behind at ESTEC Noordwijk after the event.
Return shipments must be scheduled for pick-up no later than Friday, 10 October, following the event’s conclusion.
Exhibitors are fully responsible for arranging their return logistics.
ESTEC Noordwijk assumes no responsibility for the contents of parcels sent by exhibitors.
All shipments must clearly display the name of the responsible exhibitor.
ESTEC Noordwijk is not liable for shipments held at customs or addressed directly to the venue.
Exhibitors are required to comply with all applicable customs regulations.
Transfer of Materials |
Exhibitors are responsible for the contents of their packages. The ESTEC Transport Office will deliver packages to each exhibitor’s stand on the designated set up day and will collect them after the event for return transport.
Exhibitors arriving by car may unload their materials at the main reception entrance and transport them directly to their stand.
